Complete Feature Overview

Everything the platform includes

Six interconnected tools that cover the full operational cycle of a tutoring practice, from booking the first session to receiving the final payment.

Multi-subject scheduling calendar interface for tutors
Feature 01

Student Scheduling Across Multiple Subjects

The scheduling tool handles the complexity that comes with teaching more than one subject per student. A student working on algebra, reading comprehension, and SAT prep can have all three session types on a single calendar without confusion.

Color coding separates subjects visually. Filters let you view by student, subject, or instructor. The conflict checker runs automatically before any session is confirmed, so double-bookings do not reach the calendar.

  • Recurring session scheduling with custom intervals
  • Multi-instructor view for learning centers
  • Calendar export for personal scheduling apps
  • Waitlist management for popular time slots
Feature 02

Progress Tracking Visible to Parents

After each session, the tutor logs notes, marks skill milestones, and rates the session's focus areas. Parents see a clean summary in their portal without needing to call or send emails asking how things are going.

The parent view is designed to be readable by someone without any background in education software. Progress is shown as a timeline, with milestones marked as they are reached. Session notes are visible in plain language.

Tutors control exactly what parents see. Detailed internal notes can remain private while a summary is shared. This separation keeps the parent relationship informative without overwhelming them with operational detail.

Milestone Timeline

Visual progression from session one to current, with milestones marked at each achievement point.

Parent Portal Access

Parents log in to a separate, simplified view that shows exactly what they need without exposing internal operational data.

Tutor-Controlled Visibility

Every note has a visibility setting. Internal observations stay private. Shared summaries reach parents automatically.

Progress Update Alerts

Parents can opt in to receive a notification when a new session summary is posted, keeping them engaged without requiring manual outreach.

Feature 03

Lesson Plan Templates

Templates give each session a starting point. Rather than rebuilding a lesson structure from scratch every time, tutors select a template and adjust it for the specific student and session goal.

Templates can be built around any format: objective-based, skill-drill, review and practice, assessment-focused, or freeform. Once created, they are stored in the library and available for any session.

Template Library

All templates organized by subject and type. Search and filter to find the right starting point quickly.

Session-Level Customization

Apply a template to a session and modify it without changing the original. Each session keeps its own version.

Shared Templates for Centers

Learning centers can create shared templates that all instructors access, ensuring curriculum consistency across the team.

Phone screen showing automated session reminder text message
Feature 04

Automated Session Reminders via Text

Text message reminders are sent automatically before each scheduled session. The timing is configured per student, so a family that prefers a 24-hour reminder gets that, while another that wants a 2-hour notice gets something different.

The message content is customizable. Include the session time, subject, location, and any preparation notes. Reminders go to the parent, the student, or both depending on the age and preference settings on the student profile.

No manual sending. No forgetting. The system queues reminders when a session is scheduled and delivers them on time.

Feature 05

Invoicing with Payment Status Tracking

01

Session-to-Invoice Conversion

Completed sessions convert to invoice line items automatically. Set your rate per subject or per student, and the invoice calculates itself based on sessions logged.

02

Payment Status Dashboard

Every invoice shows a status: draft, sent, paid, or overdue. The overview screen shows all outstanding invoices at a glance so nothing falls through.

03

Automated Payment Reminders

Set reminder rules for overdue invoices. The system sends a follow-up message at the interval you choose without requiring manual action on your part.

04

Invoice History per Student

Every student profile includes a full billing history. Useful for year-end tax preparation and for resolving any payment disputes with documentation.

Feature 06

Dashboard: Hours Taught and Retention Rate

The main dashboard is intentionally simple. Two primary metrics tell you the most about how your practice is performing.

Hours Taught Per Student

Track cumulative hours per student and per subject. Useful for understanding engagement depth, planning session pacing, and communicating progress to parents who think in terms of time invested.

Retention Rate by Student

Retention rate shows which students are continuing their sessions consistently and which have dropped off or reduced frequency. This metric helps identify students who may need a different approach or a conversation about continuing.

Filterable by Time Period

View dashboard metrics for the current week, month, quarter, or a custom date range. Useful for preparing progress reports or reviewing performance over a semester.

Exportable Reports

Export dashboard data as a PDF or spreadsheet for sharing with parents, for your own records, or for use in grant applications and program documentation.
